Please note that any keying error on a transfer, non-resident, miscellaneous original, or non-resident salvage vehicle will always require you to send the documents as you would with your regular bundle. Please do not keep them or wait for later. We understand mistakes happen, but all documents need to be included with the bundle work of the day the transaction was keyed, not doing so will cause us to mark the transaction as missing and no supporting documentation received which will cause a VLT stop and delay the correction process 4-16 weeks. To better assist you, please ensure you include a Green Screen Intake Form, which can be found under the links within the system. These instructions are specifically for title corrections. We will still review your email, and if we have any questions, we will reach out to you. Take a deep breath; it may seem overwhelming, but it is not the end of the world. If you follow these instructions, the process to fix it will be simpler.
In the case that the registered owner(s) information, along with address was keyed incorrectly (meaning your customer will not receive a physical title) the following must be done:
1. You must wait 30 days (about 4 and a half weeks) before you physically mail us the following, (not doing so will cause for DMV to void the transaction when we attempt to make the correction)
2. You will completely fill out Reg 227 section 1-3, this includes the vehicle information and what the new title would have reflected and a Reg 256 section G and H.
3. Section 3 must have an original signature. If it is a company, please make sure it is countersigned. 4. If there is a Lien holder on the title please have them sign section 3 for missing title
Wrong Lienholder Keyed Title not Received
If the mistake made was that the wrong lienholder was keyed and the wrong lienholder does not provide you with the “bad title” You must let 30 days passed from when you keyed the transaction and this is what we need:
1. Green Screen Intake Form, completely filled out
2. A notarized lien release from the lienholder you keyed, ( the wrong lienholder)
3. A reg 227 completely filled out with the vehicle information, register owners information, correct lienholder information, and most importantly Section 3 must have an original signature from the Correct lienholder with the box “not received from DMV checked out” ( yes it is better to retrieve that new title)
4. Photocopies of the original transaction and they must reflect the correct lienholder.
5. A signed Reg 256 form, filled out with the mistake you made in Section G, and completely filled out and signed with your name, signature, and phone number.
Wrong Lienholder Keyed Title Received
If the mistake made was that the wrong lienholder was keyed and lienholder provides you with the “bad title”
1. Green Screen Intake Form, completely filled out
2. Title signed off by the wrong lienholder on section 2A of the title.
3. Sections 11, 12 and 13 on the back of the title completely filled out with the correct lienholder.
4. Photocopies of the original transaction and they must reflect the correct lienholder.
5. A signed Reg 256 form, filled out with the mistake you made in Section G, and completely filled out and signed with your name, signature, and phone number.
Title correction wrong vehicle keyed
– Make copies of the documents for the transaction. Remember, it is DMV compliance to keep copies of all documents you send to us for up to four years.
– On the bottom of the DMV file copy, please write the error made and acknowledge that you will follow the title correction instructions.
– When your customer (the registered owner) or the lienholder (the bank) receives the new title resulting from the transaction you keyed incorrectly, Do not write anything on the title, you MUST leave it completely blank. Please mail it to us in the following order:
1. ADM399, completely filled out to receive a refund on the “bad” transaction.
2. The “bad” title, which is the title your customer brought to you as a result of the keying error completely blank. This will likely happen within two weeks to a month of you keying the transaction.
3. Surrender any inventory that issued during the transaction with the registration card.
4. Photocopies of the original transaction. These copies must show the correct information that should have been keyed. For example, if the registered owner’s name you keyed was DAO JOHN but should be DOE JOHN, the copies of the back of the title must show DOE JOHN. If you keyed Gas when it should have been Diesel, the VIN verification must reflect Diesel.
5. A signed Reg 256 form, filled out with the mistake you made in Section G, and completely filled out and signed with your name, signature, and phone number.
6. Send with your bundles in a separate envelope marked “title corrections”. We will forward to the DMV for correction with the completed ADM399. This process can take up to 16 weeks to correct.
As a reminder, please key in the correct transaction for the correct vehicle in the event you processed the wrong vin/vehicle for the customer. This is to ensure that the customer will receive the correct title and registration while we work on fixing the “bad” transaction. Your customer will need to apply for a refund through the California Department of Tax and Fee Administration for any sales tax paid.

Title correction wrong miles keyed
In the case that the miles were keyed incorrectly, you must retrieve the wrong title from your customer. (They should receive it between 10 to 30 days from when you keyed the transaction.)

4. Copies of the original transaction that you submitted with your bundle when you made the mistake, these copies MUST REFLECT the correct miles.
Please note all odometer correction transactions will be placed on suspense after we key the correction. This is standard procedure for DMV, they go to a special unit at DMV for investigations, this is out of our control.
